How to get started on Voice123

Welcome to Voice123!  

Whether new to the industry or a seasoned professional, your Voice123 profile is the key to connecting with clients looking to hire voice actors.

In this onboarding guide, we’ll explain how to get started on Voice123 in four steps. Save/bookmark this guide so you have it on hand when you need it!

Before you get started, here are some key reminders:

Step 1: Set up your profile

Think of your Voice123 profile as your résumé; the more complete it is, the better.  

Your profile is public, so it’s the first thing clients will see when you appear in search results.

Fill out your personal details: Remember, your profile is used to match you to project invitations. Include your bio, experience, training, and your voice over skills. Be clear, professional, and personable.

Add a profile picture: Clients are more likely to trust and book a real person than a blank profile.

Highlight your vocal abilities: Include accents, characters, impersonations, and any unique styles you can perform.

Set delivery options: Digital, source connect, directed sessions, etc.

Set up a payment method within your profile settings: Indicate your preferred payment method, which will be used for payments via Voice123’s Secure Payment service.  

Check your invitation settings: Set your invitation preferences and remember that you will never be penalised for declining an invitation, so keep your preferences as broad as possible.

Enable your email notifications: Set your email alert preferences so you can respond to clients quickly.

Step 2: Upload your  voice samples & create playlists

Samples are short audio clips that showcase your voice acting abilities. They should be short and showcase one voice style per sample. 

Playlists are a collection of multiple samples within the same project category, such as ‘commercial.’ Think of them as folders where you can group your best work. 

All Playlists you create on your Voice123 profile are automatically SEO optimised, which means you’ll be found faster on Voice123 and in search engine results like on Google. Here’s a full guide on how to add samples and playlists:

Upload samples correctly

Keep each recording short (20–30 seconds). Clients want to hear your voice per category, not long samples of all categories.

The sample form should include details specific to your sample. Make sure to add up to 3 keywords that you think a client may use to find your sample within the search results.

Create playlists

Playlists are collections of samples grouped by category. For example, you might create playlists for:

Commercials

E-learning

Audiobooks

Video Games

Corporate Narration

Name your samples for search

Good sample titles are descriptive and keyword-friendly. For example:

Narrator – Environmental Documentary – National Geographic

Wellness Organic – Instructional Video – Training Spot

 

This helps your samples appear in Voice123’s search results and search engines like Google.

Optimize with metadata

Each sample allows you to add:

Accents and dialects (up to 2)

Voice styles (e.g., warm, conversational, energetic, authoritative)

Keywords (brands, descriptors, or performance styles not already included in the other fields)

 

Variety is key. Each sample should showcase something unique and add a new keyword to your profile.

Step 3: Choose a membership

How do auditions, bookings, & payments work? 

With Voice123, you have the freedom to manage your own career, set your own rates, and handle contracts directly with clients. To help match you with opportunities, Voice123 uses two powerful algorithms:

The Matching Algorithm

When a client posts a project requiring auditions, Voice123’s Matching Algorithm sends invites in three stages:

Profile match: Based on project criteria like language, gender, and recording abilities.

Membership level + ranking score: Ranking comes from how many “likes” clients have given your past auditions.

Client feedback: The more clients like your proposals, the stronger your ranking becomes, which boosts your chances of getting invited again.

The Search Algorithm

Clients can also search the Voice123 database for talent, like they would on Google. Search results show:

The most relevant samples first (based on keywords, styles, accents, etc.)

Membership level ranking when samples are equally relevant.

This is why well-named, structured, and diverse playlists on your profile page are so important. They help you appear in search results and improve your visibility.

Important note: Adding more samples or changing keywords won’t directly change your ranking score, but it will increase your chances of appearing in searches and being contacted. Your ranking score improves only through client engagement (likes on auditions).

How do bookings work on Voice123?

There are 2 ways to be booked on Voice123. Clients can invite you to audition and hire you after reviewing your proposal, or they can book you directly from your profile.

When you submit a proposal, keep it professional, concise, and tailored to the project.

The better your submissions, the more likely you’ll receive likes, boosting your profile ranking.

Payments & Contracts

Voice123 connects you with clients, but we don’t manage contracts, NDAs, or negotiations for you.

You are responsible for agreeing on project terms, handling invoices, and ensuring payments.

Many voice actors use Voice123’s Invoice Feature for added peace of mind, while others arrange payment directly with the client.

Important note: Always discuss deliverables, deadlines, usage rights, and revisions upfront.
