CRAWMS is designeed for Clinical Operations Manager to plan, track and manage workload of
CRAs and Project Managers.
CRAWMS helps to Analyse free and engaged resources in organization
Assign CRAs on trial sites and evaluate several assignment options to select the best one
CRAWMS calculates workload in Full Time Equivalents for each CRA & PM and represents it in three reports
1. Workload per trials
2. Workload per employees
3. Trials vs Employees
Workload is calculated using assumptions which are uniform for the whole organisation and at the same time it is possible to take into account the trial related assumptions affecting the workload for the specific trial. It makes the result objective and reliable.
And there is no need in CRAWMS to manually edit these tables. All changes in workload due to CRAs assignments, changes in trial dates, number of patients etc are re-calculated automatically and reflected immediately in all reports.
Let us briefly review three main CRAWMS reports
Monthly workload per trials.
It shows workload demand for each trial project.
Right to the trial number there is Trial Status and Asignment status. They are calculated automatically.
It is possible to sort all trials by
There is graphical representation of the same data, making resource planning easy.
Looking at this report the manager can decide how many new trials with specific start date in future can be accomodated with available resources.
Second report Monthly workload per employee
It shows workload in FTE assigned to each CRA and Project Manager.
Graphic is also available.
This report is useful to see which employee is overloaded for a long period, which one can be engaged in the new project now and which CRA will be available for the next assignment in future. That makes a planning of asignments easy and justified, the jumping of CRAs from one trial site to another due to inadequate planning becomes less frequent.
From second report you can access the detailed list of individual responsibilities of each employee. Just click this button with 3 dots next to the employee name.
This report shows all responsibilities assigned to the selected employee in details.
There are all trials with trial title and description
All trial sites with location, Institution name and name of Primary Investigator
The summary, for example
This employee is engaged in 3 trials, 4 local sites and 5 remote sites.
And workload over time assigned to this employee,
Which is presented separately for each trial.
The next report
Trials vs Employees
I shows all trials vs all employees for the selected month
This report is very convenient to see who is engaged into specific project
and ath te same time
in which projects is enaged a specific employee.
The graphic for this report shows the split of workload between trials for all employees for selected month
In addition to workload management CRAWMS has the following funtions
Control over trial milestones and key dates
General Trial Statistics for several years,
• number of trial at different stages,
• number of patients and trial sites in active trials,
• mean time for trial preparation (from FPA to FPFV)
Trial sites and investigators databases
Maintenace of these data bases facilitates the selection of trial sites. The previous experience and historical data on recruitmnet performance of trial sites is cumulated and available for review before site selection.
All trial site can be presented as distributed over geographical regions and over therapeutic areas.
The list of investigators can substitute multiple tables used in organisation
• Investigators’ contact lists
• Trial sites mailing lists
• Investigators payment details
• distribution Lists for Investigator’s Notification (IN)
• Drug distribution list
Lists of trials by TA,product, Manufacturera and/or project manager
Are easily generated and exported into excel.
These trial lists contain important trial details like
Status Product and Manufacturer TA Project Manager (Local Trial Leader) Primary Investigator PI Contacts City Institution Short Name Institution Name Institution Address
They are very convenient for comunication with other departments. You don’t need anymore to extract trial infromatrion from Clinical trial management system and modify it to make useful for marketing department for example.
That was a brief rteview of CRAWMS functions.
CRAWMS is a CRA workload Management System specifically designed for Clinical Operations Managers and Directors
