Hotdesk Manager is an easy to use software solution for controlling your company’s free seating areas, often referred to as Hotdesks, Touch Down Spaces or Hoteling.

Hot Desk Manager allows you to;
- Make an advanced booking, using a simple Web Browser interface.
- Check In and Check Out at a Touchscreen Kiosk
- Book “on the spot” using a Touchscreen Kiosk

Hotdesk Manager holds individual preferences for each user. On entering the system will be taken to your preferred seating area.
You may navigate to any other seating areas or buildings, for which you have been authorised to book desks.
Specify the date and time period for which you require a desk, and the system will display available desks in Green.
Simply select your preferred desk and complete the simple booking form.
You can tell Hotdesk Manager to only identify available desks with the specific equipment or services that you require.
Alternatively, you may wish to search for a Co Worker, and book an adjacent desk.
Having completed your booking, Hotdesk Manager will send you a confirmation email or text message.
You may amend any of your future bookings at any time by selecting them from the My Reservations window.
[Kiosk – Check In]
On arrival at your workplace you may confirm your desk using the Hotdesk Manager Touchscreen kiosk.
If you have a Company ID card simply present your card to the reader. Alternatively, should you not have your ID card to hand you may access Hotdesk Manager using the on-screen keyboard
[Kiosk – Instant booking]
If you have not pre-booked your desk you may locate and book a desk for the duration of your stay at any of the touchscreen kiosks.
Either navigate to your preferred location and select the desk of your choice, or have Hotdesk Manager automatically allocate a desk for you.
[Kiosk – Logout]
In order to ensure maximum desk utilisation, users are encouraged to “check out” should they finish with their desk earlier than planned.
Simply revisit the Touchscreen kiosk. Having identified yourself Hotdesk Manager will display your current booking, allowing you to Check Out with a simple touch of a button.
Subject to your desk being available Hotdesk Manager will allow you to extend your booking if necessary.

Hot Desk Manager is supplied with a complete set of Administration tools, allowing you to quickly and easily configure Hotdesk Manager to your exact requirements;
- Add additional Buildings, Floors, and Zones
- Create, Edit and Amend your Floorplans and Desk Layouts
- Define Custom Data Fields for HotDesk Manager Elements
- Restrict Access Rights for multiple groups of users
- Integrate Hotdesk Manager with your Active Directory
- Define company specific Business Rules
- Configure Email Templates for Confirmations, Cancellations etc.
- Brand Hotdesk Manager to reflect your corporate identity, terminology.
Hotdesk Manager will automatically check for product updates to ensure that you are always running the latest version of the product.
