Let's take a look at setting up the Retain Exchange Module for for the first time
By setting up the Exchange module one time, Retain will be able to archive all users' mailboxes, even as new users are added in the future.

Completing the information required in the 3 Exchange tabs is both quick and easy

First, you'll want to enable all core settings which includes:
1. Caching the Exchange Address book
2. Enabling end user authentication to the archive and
3. Allowing archiving jobs to be sent to the Retain workers
Next, enter the information needed for Retain to access the Exchange Forest
(simulate entering information)
And Finally, enter the information related to every User Forest you will archive with Retain
(simulate data entry)
At any time you may save your changes and move onto policy creation.

Now that we've successfully configured our Exchange Module, let's create a sample email retention policy
Retain's policy creator is found under the Profile menu. To meet the needs of different retention policies, Retain profiles can be configured to meet the retention policies of any organization.

In this example, we'll enable archiving and leave the default profile settings to archive all messages. In some cases you may want to limit what Retain will archive from Exchange, including;
1. mailbox type
2. Item type and source
3. Message status,
4. The age of the message
5. How to organize your Journaling mailbox in Retain as well as
6. Various attachment, header and folder filters.

Once your retention policy has been configured in Retain, you are ready to configure an archiving job
Remember, Retain offers single instance storage across the entire Exchange system, minimizing your storage costs
(select jobs from menu & click exchange - again lets hide "groupwise" & cover w/ white BG or exchange 2 for example)
Configuring an arhiving job in Retain is easy:
First, choose a one time or recurring schedule. Retain makes it easy to schedule archiving jobs to run during non production hours.
Next, choose the profile you've created for your retention policy
And Finally, select which Worker will archive from Exchange.
You can think of it as a schedule being when to archive, a profile as what to archive and a worker as who to archive.
To ensure that archiving jobs don't run during peak business hours, most Retain customers archive at night.

In order to achieve compliance, a journaling mailbox must be configured for Retain to access.
On the journaling tab, simply enable journaling and select the name of the journaling mailbox.

Next, select which mail servers, distribution lists and users will be a part of this job

And finally, enter the email address or addresses of the administrator who should be notified upon job completion or any errors that occur.
After these few simple steps, be sure to save your changes. You are now ready to archive your Exchange email with Retain.
Now that Retain is archiving your critial messaging data it's important to understand how access to that data is controlled.
(click on users & select a user)
In order to control access to the archive, Retain provides a comprehensive list of controls that can be appiled to both users and groups of users.
Access controls are orgainzed between administrator level rights and end user rights. Within these 2 levels of users, adminstrators may grant and revoke rights that vary from user to user and group to group.
Administrators can be given the ability to access areas of the Retain server such as the;
1. Audit logs
2. Deletion manager
3. Litigation Hold controls and
4. Various aspects of archiving job creation like profiles, workers and schedules.
Additionally, administrators can be given the ability to export or publish messages from the archive and to restore email messages to any mailbox or to search all mailboxes.
Typically, auditors are given administrator level rights and are assigned to certain users' mailboxes in order to execute discovery procedures.
If end users are given access to the archive, administrators can limit their ability to manipulate messages by granting or revoking rights that allow them to
1. View/save attachments
2. Export or publish messages
3. Forward email and
4. Restore messages from Retain back into the Exchange system
And remember, end users can never delete email from the archive as this process is also policy driven much like the archiving policies.
Now that you understand how access to the archive is controlled, let's explore the retain archive viewer.
The Retain archive viewer is web based and can be accessed via single sign on controls in the Outlook client or directly from a browser.
