To access the your quick setup shortcuts open your account navigation section in the top right hand portion of your Vonjour dashboard. (focus in on green navigation button).
Select setup organization option. (focus and pause)
Your quick setup section allows you to add members of your team, create departments, add and edit your company’s numbers. It’s a simple way to get started (pause and focus in on the modal).
First, start adding members of your team to the account and creating their extensions. (focus and pause in on “add users”).
Click (Create Users).
To create a user simply add your team member’s name, the email address that they’ll receive their Vonjour voicemail and account notifications, and the forwarding numbers that they’ll receive calls at. Lastly, assign the user an extension that they can be reached at.
This is a quick and simple way to add members of your team. Vonjour will send an email invitation to all your team members with a link to further customize their extensions and add additional forwarding numbers in the extension profile page.
Once you’re done (focus in on “submit”) adding all your team members to your account, you’ll want to start creating departments extensions for your company. Creating departments is the best way to let your callers know that your organization is both professional and responsive. (focus in on create departments)
To create a department extension, provide a name for the department and add the names of the users in the account that you want to accept calls from the extension. Simple.
When anyone calls a department, Vonjour will call through the members of your team based on their availability. Vonjour calls through the members of the team until someone picks up. Or if no one is available, we’ll send the call to voicemail.
Great! Next, you can further customize extensions by adding and editing your forwarding numbers from your extensions profile page. Your forwarding numbers can be any number such as a cell phone or home phone number. Vonjour will call through your forwarding numbers until we reach you.
You can adjust the sequence of your forwarding by dragging and sorting the order. You can also select to have all your numbers to be called at once, by selecting ring all. This way, you can answer your callers more quickly.
Once you’ve configured your forwarding numbers, you can set when you would like to receive calls and when to instead send the call to your extensions voicemail by adjusting your scheduler.
Adjust your call availability or remove availability from each individual day. (focus in on daily edit). Or simply create a uniform weekly scheduler (focus in on Change time slots).
Lastly, you can further customize your extension voicemail from the voicemail section of your profile. You can record your voicemail over phone or simply upload the sound file.
That’s all it takes to customize a personal extension.
As your team grows you might consider adding additional departments. To create and edit additional departments, select the departments section on your left navigation bar.
The department section lists all your organization’s departments. To add additional departments (focus on create new tile) simply enter a new name for the department, assign it an extension, and add the users you would like to accept calls on the extension.
Department extensions are similar to user extensions (department page). In your department profile page, Vonjour provides a list of users who accept calls on the department extensions call queue and their availabilities. Just like user extensions, you can set call schedule, sequencing and screening options.
After creating all your user and department extensions you will need to update your main greeting to instruct your callers on how to reach the departments or user extensions you just created. In the main greeting section, you can create and edit your main and after hours greeting.
The main greeting is designed to instruct your callers to the appropriate party within your organization during your organization’s hours of operations. We’ve set a default main greeting, but you will want to customize the greeting to reflect the department and user extensions in your Vonjour account.
Say something as simple as “Thank you for calling. To speak to sales, press 1. To speak to sales, press 2. To speak with the operator, press 0. Or if you know your party’s extension, you may dial it any time.”
In the greetings section you will also be able to create an after hours message that is set to play outside your organization’s hours of operations. This message will instruct the caller how to leave a message or connect to your business when the business is closed.
Creating a main greeting is very effective in conveying a professional tone for your business. Sometimes, however, you’ll want to bypass your auto attendant or provide your employees with a direct forwarding number. From the settings section you can configure all your Vonjour numbers. To create a direct number just select the user or department extension that you would like Vonjour to call.
And that’s it. Now you’re ready to start taking calls.
