IntroductionThank you for your interest in Pepito and our Product1 practice management solution. Pepito Corporation is a leader in design, delivery, training and support of software created for medical offices ranging in size from a single-doctor practice to large medical groups. Product1, one of our key software products, is a true Windows-based product, utilizing Microsoft SQL Server and the very latest in hardware and software technology. Because of this, Product1 enables your practice to stay current with government HIPAA regulations and maximize the efficiency and profit potential of your practice.The demo that you are going to see is for Product1 Version 8.8. In terms of software releases, this is where you want to be. In other words, this is not a version 1or version 2. Product1 has been in the market for several years, therefore 8.8 is a good, solid installation of this system and has numerous users. This version of Product1 has been geared to our clients who have asked for some specific information and different things they wanted in the system done.During the following demonstration, you will see how Product1 makes running your practice easier, faster, and more efficient than ever before. Getting Started Logging into Product1 is simple, requiring just a User ID and a Password. Every user in your office will have an assigned User ID and password specific to them. This allows for proper tracking and accountability, which is a HIPAA requirement. In addition, every User ID and password will have its own level of permissions, which controls what they can and cannot do in the system. These permissions can be easily updated or changed by the system administrator as needed.Once a user logs on, the first thing they will see are their ticklers. In this case, this individual is the biller, so the system will actually come up and give the ticklers, or to-do’s, for this individual The ticklers could be specific to a patient – for example remember to follow up on a charge for a patient, who needs a new authorization number. Ticklers can also be more general. For example, remember to buy printer paper for the office. Product1 can also be set up to provide a tickler for other items such as a payment or collection records. Ticklers can also be reassigned to another user in the practice.Using HelpAs mentioned earlier, Product1 is a Windows-based software product. So, if you are used to Microsoft Word or Microsoft Excel, Product1 shares many functional characteristics, you’ll feel right at home here. Product1 also has full online help availability. Our entire manual is on the system, which enables you to easily look up help items either by an index or a keyword search.
Patient Registration:A click on Patient Registration, and it automatically defaults to the last patient selected. If this is not the patient that the user needs, simply press the search button, which is F5, and Product1 will provide a search listing of all the patients in the system. This white box represents all of the patients the system. The information on the right-hand side in the gray boxes and down below is a preview of the patient’s account. Searching for a patient in Product1To search for a specific patient, simply type in the first 4 letters of the last name and the first 2 letters of the first name and Product1 will show the first patient that meeting the criteria. It is also possible to search by any of the criteria on the screen. Once the patient is located in the system, simply Select the patient.The patient’s registration screen is organized in a similar manner to a physical file folder with tabs at the top. In addition, there are tabs on the side for some more information. Registration begins with the most commonly requested patient demographic information. Product1 is also designed to automatically populate City and State data based on Zip Code entry. The entire United States Postal Service zip code file is in the system, so this feature works almost anywhere. Product1 can also capture a patient’s email address, which will automatically launch your email program when clicked on.
The Attachments tab stores the images and attachments for the patient. This function allows the user to attach any Windows filename to a patient. For instance it is easy to store a copy a patient’s insurance card. By keeping a small card scanner at the front desk, it is a simple task to scan the patient’s card and create a single image. Insurance:Product1 will maintain up to three current insurances on a patient: a primary, a secondary and a tertiary as well as a detailed history A useful feature of Product1 is that it will rebill old policies and post payments to old policies, without ever having to delete the old policy. Press the All Insured button and Product1 will present every policy the patient has ever had that is in the system.We also have a printable appointment log which will show every appointment the patient has ever had, who it was with, and what type of appointment it was. It will also optionally show you cancellations, including who cancelled the appointment and the reason it was cancelled.
SchedulingBecause we understand no two practices and no two doctors schedule the exact same way, scheduling is template driven in Product1 allowing great flexibility.The Scheduler opens with the previously used criteria defaulted. Clicking on a date will show all appointments for that day in a Daily view. To view schedules for a different range of Providers, simply change the Provider Range and re-select the date to view the desired schedule.A weekly view will give a bird’s-eye view of the next five business days for the selected providers. These are only a fraction of the many options Product1 provides for setting up Scheduler view.Setting up a new appointment is also a simple task. For example, select an appointment type like NP for New Patient then enter the patient’s last and first names. Only the patient’s name is required but other fields can be completed if needed such as putting notes in the Memo field. You can also entering basic patient demographics by zooming in the name field and clicking on the New Patient button.To schedule an existing patient, simply select the appointment time then search for the patient’s name in the system by pressing F5 and selecting the desired patient. Rescheduling a patient is also straightforward. If a patient calls and needs to reschedule, click on Change and then Reschedule. Product1 will actually bring up the next logical appointment. If the patient requests a specific time go to that time slot and if available click the reschedule button.To cancel an appointment, click on Options and Mark As Cancellation. When a patient is marked as a cancellation, Product1 automatically requests the reason for the cancellation. This list can be edited, but does come with some standard reasons for cancellation. Then you simply delete the appointment.Product1 also has the ability to check in and check out patients. Although this is not a requirement, it is nice feature to help manage a more efficient practice. So when a patient shows up on the day of their appointment, just click Control-I to Check In the patient. Product1 will indicate if a patient is checked in with a red color. Once a patient is checked out, which is Control-O, the red will change to gray. Product1 will then also timestamp the check out time.
BillingIn terms of saving your practice money, Product1 also provides the ability to generate customized fee tickets directly out of the system, eliminating the need to buy preprinted forms. In addition, all forms generated by Product1, except for the physical red HCFA form, can be printed off a laser printer, eliminating the need to purchase those forms.Once a patient is entered into the system, the practice will need to generate an encounter form or fee ticket. Product1 will assign a tracking number to the encounter form to ensure each patient who was scheduled for that day, was actually seen by a physician and a charge is posted for them. When posting by encounter form, Product1 will automatically populate the date of service as well as the specific physician, based upon the scheduled encounter. The user then enters the ICD and CPT codes. Both fields are searchable by pressing F5 and selecting from the User list. The User lists have the most commonly used codes in the practice. Both complete ICD and CPT codes list are in the system as a reference tool. Also, every procedure code has the capability of having up to three different modifiers. Product1 also allows the use of charge groups.The Ledger opens to an overview of the patient’s account. Since every transaction is in line item posting format, the date of service and the amount of money outstanding from either the patient or the insurance company is visible for that date of service. A quick look at the aging shows that the amount that the patient owes versus how much the insurance owes, as well as the total. This can help to increase revenue as it is easy to see where billing follow-up needs to be done. Additionaly, the user may go to the Details tab, which will show detailed line item transactions of the patient’s entire ledger, in either chronological or reverse chronological view. CollectionsThe Product1 collections module is also a strong feature of the system, because it enables the user to take action on many patients at one time. For example, Product1 enables the user to build a custom list for sending out collection letters to all patients who are more than 60 days past due with a minimum balance of $20. Once the search criteria is entered, click on the Filter button and Product1 will build a list of the patients matching the criteria. These patients may be viewed individually if the user wishes to make notes on them as well. It is just as easy to perform a task for all of the patients returned by the search. Click the Select All button which places a checkmark next to all of the patients in the list. Once the patients are selected, it is simple to perform a single task for the entire list, such as sending them a collection letter. The user simply selects a standard collections letter from a list of letters already created in the system to process. Each letter is created in Microsoft Word addressed to the patient’s responsible party, similar to a standard mail merge.
ReportsThe Product1 Reports section is quite extensive, but it is also quite simple to use. Because Product1 uses Microsoft SQL, which is a relational database, it has the ability to generate reports almost instantaneously, directly to the screen. In addition, running reports in Product1 will not slow down the entire system in the practice. Frequently with older technology users have to come in late at night to run reports, because it takes their practice management systems to much time to work on it during normal business hours. Because Product1 is integrated with Microsoft Excel, the user is able to export selected data into Microsoft Excel. This allows the user to leverage the power of Microsoft Excel to analyze and distribute data.Well, that concludes the demonstration. Thank you for your time and interest in Product1 and Pepito.
